Your privacy is important to us. It is Genchi's policy to respect your privacy and comply with any applicable law and regulation regarding any personal information we may collect about you, including through our SaaS platform and website at www.genchi.com, and other sites we own and operate. Genchi is a Delaware C-Corporation registered in California and San Francisco.

Personal information is any information about you which can be used to identify you. This includes information about you as a person (such as name, email address, and job title), payment details, and information about how you use our services.

In the event our site contains links to third-party sites and services, please be aware that those sites and services have their own privacy policies. After following a link to any third-party content, you should read their posted privacy policy information about how they collect and use personal information. This Privacy Policy does not apply to any of your activities after you leave our site.

Information We Collect

Information we collect falls into one of two categories: "voluntarily provided" information and "automatically collected" information.

"Voluntarily provided" information refers to any information you knowingly and actively provide us when using or participating in any of our services.

"Automatically collected" information refers to any information automatically sent by your devices in the course of accessing our products and services. We do not collect IP addresses or device info.

When you visit our website, our servers may automatically log standard data provided by your web browser, such as the pages you visit, the time and date of your visit, and the time spent on each page. We do not collect IP addresses.

Connection Data

When you connect a third-party service to your Genchi account — including Slack, Jira, Asana, or an AI assistant such as Claude or ChatGPT — we store the information needed to maintain that connection. For AI assistant connections this includes the name of the connecting application, the date the connection was authorized, the date it was last used, and one-way hashes of the access credentials issued for it. We do not store the credentials themselves in a recoverable form.

We do not collect sensitive information (such as racial or ethnic origin, political opinions, religion, health information, or biometric data) unless explicitly required for service delivery, and only with your consent.

Legitimate Reasons for Processing Your Personal Information

We only collect and use your personal information when we have a legitimate reason for doing so, such as providing our services, complying with legal obligations, or improving our platform. We collect only the personal information reasonably necessary to provide our services to you.

We may combine voluntarily provided and automatically collected personal information with general information or research data we receive from other trusted sources to enhance your experience.

AI Assistant Connections

Genchi can be connected to AI assistants such as Claude and ChatGPT, so that you can ask about your initiatives and receive the current anonymous confidence signal without leaving the conversation. Because this involves sending your Genchi data to a third party, we want to be specific about what happens.

You choose to connect, individually. An AI assistant connection is authorized by you signing in to Genchi and approving it. It is not enabled company-wide by an administrator, and connecting your own account does not give the assistant access to anyone else's.

What the assistant can read. Only the initiatives where you are the Owner, a team member, or an observer. For those initiatives it can read the name, goal, deadline, the team's aggregate confidence signal and trend, how many people have checked in, and any blockers that have been raised.

What the assistant cannot read. It cannot see how any individual voted. Genchi returns aggregate figures and participation counts only; individual check-ins are never disclosed through an AI assistant connection, and this is enforced by our servers rather than by the assistant. It also cannot see initiatives you are not part of, other people's accounts, billing information, or anything belonging to another company.

What the assistant can change. The only change an assistant can make is creating a new initiative owned by you. It cannot delete or modify existing initiatives, change team membership, cast votes, or alter billing or account settings.

Where your data goes. When you ask an AI assistant a question about your initiatives, the assistant sends a request to Genchi and Genchi returns the answer to the assistant. That data is then handled by the assistant's provider under their own privacy policy and terms, not ours. We would encourage you to read them; we have no control over how a provider retains or uses information once it leaves Genchi.

Ending a connection. You can revoke any connection you have authorized at any time from within Genchi, and your company administrator can revoke connections within your company. Revocation takes effect immediately — the assistant loses access on its very next request. You can also disconnect from within the assistant itself.

Security of Your Personal Information

When we collect and process personal information, and while we retain this information, we will protect it within commercially acceptable means to prevent loss and theft, as well as unauthorized access, disclosure, copying, use, or modification.

Although we will do our best to protect the personal information you provide to us, we advise that no method of electronic transmission or storage is 100% secure, and no one can guarantee absolute data security.

You are responsible for selecting any password and its overall security strength, ensuring the security of your own information within the bounds of our services.

How Long We Keep Your Personal Information

We keep your personal information only for as long as necessary to provide our services and fulfill the purposes outlined in this policy. This includes retaining data during active account use.

After account closure or when data is no longer needed, we will retain it for a reasonable period (e.g., up to 30 days) for backups, dispute resolution, or legal compliance, then delete it. We will delete data upon user request, for legal requirements, or when it is no longer required. If necessary, we may retain anonymized data for statistical purposes or to comply with legal, accounting, or reporting obligations.

Records of revoked AI assistant connections are retained in a non-usable form after revocation, so that any later attempt to use a withdrawn credential remains detectable. These records contain no usable access credentials.

Disclosure of Personal Information to Third Parties

We may disclose personal information only to necessary third-party service providers for operational purposes, such as:

We do not share with affiliates or business partners at this time. We may also disclose information in connection with mergers, acquisitions, or asset sales, or to comply with legal requirements (e.g., subpoenas or regulatory demands).

Separately from the providers above, data is disclosed to third-party services that you choose to connect to your own Genchi account — including Slack, Jira, Asana, and AI assistants such as Claude and ChatGPT. These are not our service providers: they act on your instruction, under their own terms and privacy policies, and you can disconnect them at any time.

We require these third parties to protect your information and use it only for the purposes we specify.

California Consumer Privacy Act (CCPA) Rights

If you are a California resident, you have specific rights under the CCPA regarding your personal information. These include:

We may verify your identity before responding. We will respond to verifiable requests within 45 days (extendable to 90 days if needed). You may make up to two requests per 12-month period.

Additional Rights and Controls

Your Choice: By providing personal information to us, you consent to our collection, use, and disclosure as described here. You do not have to provide it, but it may affect your ability to use our services.

Marketing Opt-Out: If you have agreed to marketing communications, you may opt out at any time by contacting us or using unsubscribe links in emails.

Connected Applications: You may review and revoke any AI assistant connected to your Genchi account at any time from within the application.

Notification of Data Breaches: We will comply with applicable laws in notifying you of any data breach.

Complaints: If you believe we have breached data protection laws, contact us with details. We will investigate promptly. You may also contact relevant authorities, such as the California Attorney General.

Business Transfers

If Genchi or its assets are acquired, or in the event of bankruptcy, we may transfer your personal information as part of the assets, subject to applicable laws. Acquiring parties must use it in accordance with this policy.

Limits of Our Policy

Our platform may link to external sites not operated by us. We are not responsible for their privacy practices.

Changes to This Policy

We may update this policy to reflect changes in our practices or laws. We will post updates here and notify you if material. Continued use after changes indicates acceptance.
